1. Scope
These terms govern the use of FLIRIVO FLOW by registered account owners, organisations and authorised staff. Mandatory law, individual agreements, offers and specific service descriptions prevail where applicable.
2. Purpose
FLOW is a configurable platform for appointments, appointment requests, reservations, waitlists, virtual queues, pickups, customer status, public calling displays and comparable service processes. It does not replace legally required specialist systems where a sector is subject to specific regulatory, medical, governmental or safety requirements.
3. Registration and business workspace
Account owners must provide accurate information, protect credentials and grant access only to authorised persons. A new business is guided through privacy setup and product selection before productive publication. Public customer functions remain unavailable until these prerequisites are complete.
4. Product plans and modules
FLOW may be offered in several plans with different modules, staff limits, analytics, exports, display boards, branding and advertising conditions. Modular extensions may also be offered. The service description and price shown at checkout apply to the purchased period.
5. Starter, Business, Professional and Enterprise
Starter targets simple status and pickup processes. Business adds appointments, reservations, waitlists and queues. Professional adds analytics, exports, display boards, advanced calendar controls and ad-free operation. Enterprise provides the broadest feature set and higher organisational limits.
6. Licence term and extension
FLOW plans are sold as fixed licence terms shown during checkout. A 30-day purchase grants exactly 30 days and a 365-day purchase exactly 365 days. FLOW has no automatic renewal and no FLOW subscription. Multiple periods purchased for the same plan are added in full and appended to any remaining term of that same plan. An upgrade to a higher plan is possible at any time and takes effect after successful payment. Any already paid remaining term is preserved and the newly purchased term is added in full. A lower plan cannot replace a still-active higher-tier licence before it expires and may be purchased after that expiry.
7. Prices and payment
Prices displayed during checkout apply to one fixed 30- or 365-day period of the selected plan. If multiple periods are selected in one purchase, the total price is the price per period multiplied by the selected quantity. Payment is processed as a one-time payment through Stripe. Taxes are handled according to applicable requirements. A licence term is activated only after payment has been confirmed.
8. Advertising
Some plans may include clearly labelled advertising placements, while ad-free plans are identified accordingly. Advertising must not imitate operational system messages.
9. Staff roles and permissions
The business owner can invite staff with individual logins and assign roles or detailed rights, including read-only access, appointment management, queue operation, status processing, exports or configuration. The owner remains responsible for appropriate access control.
10. Public links and displays
Public booking, reservation, queue and screen links may be used on websites, QR signage or screens as intended. Personal customer links for individual records must not be published. The operating organisation is responsible for privacy-compliant display configuration.
11. Configuration and templates
Industry templates accelerate setup but do not replace professional review. Businesses can configure opening hours, closures, holidays, lead times, response deadlines, requeue rules, capacity, fields, texts and process rules and remain responsible for fitting these settings to actual operations.
12. Customer communications
FLOW can provide emails and personal customer links for confirmations, alternatives, rejections, changes, reminders or cancellations. Even a successfully sent message may arrive late or be rejected depending on the recipient’s email provider.
13. Calendar, capacity and availability
Calendar and capacity information is based on data and rules stored in FLOW. Parallel external systems or incomplete maintenance may create discrepancies. Displayed queue estimates and expected completion times are planning aids rather than guaranteed service times.
14. Large datasets and exports
Large datasets are presented clearly page by page, with filters or by date range. Views and exports may use reasonable limits or date ranges for stable and secure operation.
15. Acceptable use
Prohibited use includes abusive automation, security bypass, unauthorised scanning, manipulation attempts, unlawful content, identity abuse, disruption of service or violation of third-party rights. Security-relevant activity may be logged and blocked.
16. Privacy
Businesses must collect only customer data they need and are permitted to process. Free-text fields must not be used as uncontrolled storage for sensitive information. The Privacy notice applies additionally.
17. Availability and maintenance
The provider aims to operate the platform appropriately. Maintenance, security measures, infrastructure failures, third-party outages and updates may temporarily affect availability. Specific service levels apply only where expressly agreed.
18. Liability
Statutory rules and the central disclaimer apply. FLOW supports day-to-day processes but does not make professional decisions for the business.
19. Intellectual property and attribution
Software, design, brands, documentation and related components remain protected under applicable rights. “Powered by FLIRIVO FLOW” is a mandatory element of public FLOW customer interfaces unless expressly agreed otherwise.
20. Expiry, suspension and export
Because FLOW terms are purchased as one-time licences, there is no automatic FLOW renewal to cancel. After a paid licence expires, paid modules may be restricted until a suitable term is purchased again. Businesses should export required data within their permissions before ending use. Business data is not automatically deleted solely because a licence expires; applicable retention, deletion and privacy rules continue to apply. Access may be suspended where legally and contractually permitted in cases of serious misuse, security risk or material breach.
21. Changes
These terms may be updated for new functions, products or legal requirements. Material changes affecting existing contracts will be communicated as required by law.
22. Applicable law and mandatory rights
The agreed or legally determined law applies. Mandatory statutory rights, including mandatory consumer rights where applicable, remain unaffected.
23. Locations, maps, floor plans and destinations
FLOW can manage locations, rooms, tables, seats, counters, workstations, pickup points, entrances, parking areas, calling displays and schematic floor plans and assign them to records. These functions support operational guidance and capacity management. The operating organisation remains responsible for the accuracy, currency and suitability of its location information. FLOW does not replace any legally required construction, fire-safety, workplace-safety, accessibility, evacuation or emergency plan or signage. Map links and optional external map embeds are additionally subject to the terms and privacy requirements of the relevant map provider.
